Invoices and payments
You send invoices from the app. Owners pay by card or however you usually get paid, and CritterTrust keeps track and sends the reminders.
CritterTrust never takes a cut of what you're paid. Card payments carry Stripe's usual processing fee, and that's all.
Send an invoice
Nothing is invoiced automatically — you choose when to bill.
- Go to More → New invoice.
- Pick the client. Anyone you have a confirmed or completed booking with is listed.
- Their completed visits that haven't been billed yet are already filled in. Remove any you don't want on this invoice, or tap + Add line item for anything else.
- Switch on Allow tip if you'd like to let the owner add a tip when they pay by card. They choose the amount.
- Add a note if you like, then tap Send invoice.
The invoice goes out straight away — there are no drafts.
What the owner gets
An email with the invoice and a button to open it. If you've connected Stripe, the button says Pay by card. The email also lets them know you may accept cash, Venmo or Zelle, and a note about the invoice appears in your conversation with them.
Getting paid by card
To take card payments, connect Stripe first: More → Profile & settings → Connect Stripe — get paid. You create your own Stripe account, and it stays yours even if you leave CritterTrust.
- The owner pays the whole balance, plus any tip. Card payments can't be split.
- The money goes straight to your Stripe account. Stripe pays it out to your bank on the schedule you set with Stripe.
- The invoice is marked Paid automatically, and you get an email.
Getting paid another way
Paid in cash, Venmo, Zelle or anything else? Record it yourself:
- Open the invoice from More → Payments & invoices.
- Tap Mark as paid outside app.
- Choose how you were paid, the amount, and the date you received it. Add a note if it helps — a check number, say.
- Tap Mark as paid.
- Paid part of it? Enter what you received. The rest stays open on the invoice.
- Paid more than the total — a cash tip, for instance? That's fine; it's recorded as paid.
- The owner isn't notified when you record a payment.
- A recorded payment can't be edited or deleted in the app. If you get one wrong, email support@crittertrust.com.
When an owner says they've paid
If you haven't connected Stripe, the owner's invoice has an I've sent payment button. When they tap it, you get an email and the invoice shows To confirm. CritterTrust stops reminding them while you check.
- When the money arrives, record it with Mark as paid outside app.
- If it never arrives, tap Resume reminders and the reminders start again.
Reminders
For an unpaid invoice, CritterTrust follows up for you:
| After | What happens |
|---|---|
| 3 days | The owner gets a friendly reminder email. |
| 7 days | You get an email suggesting a personal follow-up. Nothing goes to the owner. |
| 14 days | The invoice becomes Overdue, and you both get an email. |
A payment on the invoice restarts the count. You can also tap Resend invoice at any time, or Write off this invoice if you've decided not to pursue it — that can't be undone.
Keeping track
- More → Payments & invoices lists every invoice, with filters for Unpaid, To confirm, Paid and Overdue. Download my payment records saves every payment you've recorded as a spreadsheet, including Stripe's fee on each card payment.
- More → At a glance shows what you've recorded this month, what's owed, what's overdue, and finished work you haven't invoiced yet. Tap any figure to see exactly what it counts.
- More → Income breakdown (Pro) shows this year's payments by how you were paid, by service and by client.
